1. Shopify

The webshop of Remoki is developed using Shopify software. In order to facilitate the services for Remoki, personal data provided by you is shared with Shopify. Shopify has access to your data to provide support to Remoki, but they will never use your data for other purposes. Based on the agreement between Remoki and Shopify, Shopify is obligated to take appropriate security measures, including the use of SSL encryption and a strong password policy. Shopify is certified as a processor of credit card data.

Shopify uses cookies to collect technical information about your use of the software, without collecting or storing personal data. Shopify reserves the right to share collected data within its own group for the purpose of further improving the service. Shopify adheres to the applicable legal retention periods for (personal) data. The EU/US Privacy Shield is applicable, meaning that your data may be processed in the United States. 

Shipping & Logistics

1. PostNL

When you place an order with Remoki, it is our responsibility to ensure that your package is delivered to you. We use the services of PostNL to carry out the deliveries. To make this possible, it is necessary to share your name, address, and place of residence details with PostNL. PostNL uses this information solely for the purpose of fulfilling the agreement, with the aim of delivering your order. In the event that PostNL engages subcontractors, PostNL may also provide your data to these parties for the same delivery purposes.

2. DHL

When you place an order with Remoki, it is our responsibility to ensure that your package is delivered to you. We use the services of DHL to carry out the deliveries. To make this possible, it is necessary to share your name, address, and place of residence details with DHL. DHL uses this information solely for the purpose of fulfilling the agreement, with the aim of delivering your order. In the event that DHL engages subcontractors, DHL may also provide your data to these parties for the same delivery purposes.

Invoicing & Accounting

1. Electronic Accounting 

For administration and accounting, Remoki uses the services of (accounting software). Remoki shares your name, address, and place of residence with them to keep track of sales invoices. Your personal data is transmitted and stored securely, and (accounting software) has taken the necessary technical and organizational measures to ensure that your data is protected against loss and unauthorized use. (Accounting software) is contractually obligated to confidentiality and will not use your data for purposes other than as described above.

Purpose of data processing

1. General purpose of processing.

Remoki uses your data solely for the purpose of providing the service. This means that the processing of your data is always directly related to the assignment you have given to Remoki. Your data will not be used for (targeted) marketing purposes. If Remoki uses your data to contact you later - other than at your request - Remoki will explicitly ask for your consent. Your data will not be shared with third parties, except to comply with accounting and other administrative obligations. These third parties are all bound by confidentiality based on agreements with Remoki, an oath, or legal obligations.

2. Automatically Collected Data

Information automatically collected by the website is processed with the aim of improving the service. These data, such as your IP address, web browser, and operating system, are not considered personal information.

3. Cooperation with fiscal and criminal investigations

If necessary, Remoki may be legally obligated to share your data in connection with a fiscal or criminal investigation conducted by the government. In such a situation, we are obliged to share your data, but Remoki will try to resist this within the limits of the law.

4. Retention periods

Remoki retains your personal data for the period during which you use our services. This means that Remoki will keep your customer profile until you indicate that you no longer wish to use our services. When you express this wish, Remoki considers it a request to delete your data. However, in accordance with the applicable administrative regulations, Remoki must retain invoices with your personal data for the legally required retention period. During this period, employees no longer have access to your customer profile and the documents prepared in connection with your assignment.

5. Your rights

In accordance with the applicable Dutch and European legislation, as a data subject, you have certain rights regarding the personal data processed by us. Below, we explain what these rights are and how you can exercise them.

Generally, we send copies of your data only to the email address already known to us to prevent abuse. However, if you wish to receive the data at a different email address or by post, for example, we will ask you to confirm your identity. We maintain a record of handled requests, and in the case of a request to be forgotten, we keep anonymized data. All copies of data you receive are provided in a machine-readable data format that we use within our systems.

You have the right to lodge a complaint with the Dutch Data Protection Authority at any time if you suspect that we are using your personal data incorrectly.

6. Right of Access

You always have the right to inspect the data that we (have) process and that relate to your person or can be traced back to your person. You can submit a request for this purpose to our privacy contact person. Within 30 days of your request, you will receive a response. If your request is approved, we will send you a copy of all data with an overview of the processors who have this data under them, including information about the categories under which we have stored this data, to the email address known to us.
